Wedding Coordination
Pre Wedding:
6 weeks prior to date:
• 2 planning meetings and weekly e-mails necessary to finalize wedding details.
• Obtain copies of all vendor contracts
• Contact all vendors and inform them of Hooked Up Weddings assistance
• Confirm all contract details (deliveries, set-up times, etc.)
• Meeting with reception venue/caterer to develop wedding day itinerary
• Develop extremely detailed wedding itinerary (will later be distributed to all contracted
vendors)
Week prior to the wedding:
• Pickup all personal items from bride and groom (guest book, pen, portraits, toasting glasses,
cake knife, favours, programs, etc) and transport to ceremony and reception venue.
• Wedding itinerary distributed to bride, groom and wedding party
• Coordination of entertainment, announcements, and events with DJ and/or Master of
Ceremonies for the reception (first dance, toasts, cake cutting, bouquet toss, bride and
grooms exit, etc)
• Attend rehearsal, coordinate ceremony (have everyone at the right place at the right
time), deliver marriage license and church fee (if required).
• Available to handle any special requests during wedding weekend (E.g. Champagne in
car for exit).
Wedding Day:
Complete wedding day coverage to manage and assist with:
• Vendor set-up at ceremony and reception venue
• Payment of vendor balances and tips distributed as requested
• Delivery of bridal gown and bridesmaid dresses
• Assist bride and bridesmaids in waiting room prior to ceremony
• Organization and distribution of all personal flowers
• Transport personal items from ceremony to reception
• Bustle bride’s dress and arrange refreshments upon arrival at reception
• Ensure that all personal items are taken at the end of the evening
(gifts, cake topper, bride’s bouquet, toasting glasses, cake knife and server, etc)
Post Wedding
• Pick-up tuxedos and return to rental location
• Return all rental items (linens, easels, chair covers, etc)
• Return all personal items to bride and groom or at time requested
